Job Description

PRIMARY JOB RESPONSIBILITIES

 

  1. Receive, review and process customers’ purchase orders by inputting into the Company’s computer system
  2. Verify customer and order information for correctness, checking it against previously obtained information as necessary
  3. Inform customers by mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays 
  4. Review orders for completeness according to reporting procedures and forward incomplete orders for further processing
  5. Maintain and adjust inventory records to reflect product movement 
  6. Confer with production, sales, shipping, warehouse, or common carrier personnel in order to expedite or trace shipments 
  7. Understand vendors / production to prepare & provide PO to appropriate party
  8. Prepare sales contracts and shipping documents to coordinate for shipment pick-ups
  9. Understand assigned customers business process and being able to access information, such as EDI, Portal, WOI, etc.
  10. Manage a database of the assigned customers in customers master file and contact them if necessary 
  11. Monitor to maintain existing sales volume with assigned customers by reviewing Result & Booking Report
  12. Generate SCL and invoices and related documents, and file those documents 
  13. Understand updated export regulations and logistics 
  14. Collect past dues, and report monthly past dues to other departments and divisions
  15. Prepare pending reports and shipping reports 
  16. Other duties may be assigned

  1. Seek constant improvement, more efficient in work processes.
  2. Always keep communicating with the manager. 
  3. Perform special projects and other miscellaneous duties as assigned by management. 
  4. May assist and provide guidance and direction to other employees, especially new employees.
  5. Maintain high ethical standards in the workplace.
  6. Report all irregular issues and problems to managers for solution.
  7. Maintain good communication with management, office employees and outside contacts.
  8. Comply with all company policies and procedures.

Education & Work Experience
  1. Bachelor’s Degree from accredited four year educational institution
  2. One year of related experience and/or training; or equivalent combination of education and experience
  3. Strong attention to detail 
  4. Good communication, customer service, and follow up skills
  5. Excellent phone and e-mail etiquette, and interpersonal skills
  6. Ability to work closely with management
  7. Willingness to learn and be proactive in nature
  8. Ability to handle high value clients
  9. Leadership and troubleshooting skills
  10. Proficiency in the operation of Outlook, SAGE, FMP, Excel, Word, Power Point

  1. General office equipment including phones, fax, copier, calculator, personal computer, and accounting related software.
