This company is looking for an Administrative Assistant to support the Finance organization including Tax, Finance, Treasury, and Risk Management. 

Responsibilities: 

Support of the management team with various tasks including but not limited to: 

  • Organizational management for senior leadership team, meetings, agendas, effectiveness 
  • Calendar management 
  • Prepare presentations in slides & powerpoint, utilizing data from sheets & excel 
  • Expense report processing 
  • Assist staff with travel coordination 
  • Maintain up to date organizational charts, contact lists and email alias lists 
  • Purchase order generation and invoice processing. Manage all open purchase orders. Work with vendors and project managers to ensure billing occurs in timely manner 
  • Coordinate team meetings and events 
  • Assist with audio, visual and web conferencing 
  • Perform general office administration duties such as ordering supplies and equipment. 
  • Assist team with projects as needed. 

Skills/Requirements 

  • Strong organizational and project management skills, with the demonstrated ability to anticipate executive leadership team needs 
  • Excellent verbal and written communication skills 
  • Previous Administrative Assistant experience in a fast-paced work environment a plus 
  • Strong calendar management skills 
  • Proficiency in gSuite collaboration tools preferred; Microsoft Office (Word, PowerPoint, Excel) 
  • Previous experience opening purchase orders and processing invoices.  Oracle experience preferred.  
  • Must have strong initiative, self-motivation and high standards of excellence 
  • Ability to work successfully in a team environment and build effective working relationships 
  • Exercise discretion and judgment in handling highly sensitive and confidential information 
  • Exceptional organizational, time management and problem-solving skills 
  • Ability to juggle multiple tasks with accuracy and achieve deadlines under pressure 
  • Must have outstanding attention to detail 
  • Ability to adapt to changing priorities in a deadline-driven environment 
  • Must be proactive and have strong follow-through 
  • 5+ years of related experience required
