1.ROLE DESCRIPTION AND RESPONSIBILITES:

The Executive Administrator will report directly into the COO and is responsible for the CEO’s work and time management. Additionally, the Executive Administrator will assume the following responsibilities:

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.

  • Represents the executive by attending meetings in the executive's absence; speaking for the executive.

  • Contributes to team effort by conserving executive’s time and accomplishing expected results as needed.

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.

  • Collaborates with the Business Development (BD) team to collectively move accounts forward by managing and directing the work of the BD support staff.

  • Completes projects by assigning work to responsible parties at all levels throughout the company; following up on results.

  • Prepares reports by collecting and analyzing information.

  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

 

 

Executive Administrator must have at least 5 years of relevant experience and a minimum of 3 years of management experience. Must be able to demonstrate strong oral and written communication skills and effectively use MS Office applications: Outlook, Word, Excel, and PowerPoint. Demonstrate strong team-working, Organization & Activity, Time & Prioritization Management skills. A college degree in Business Administration, Organizational or Industrial Psychology is preferred and experience with SAP Business One, as well as knowledge of import and export regulations is an advantage.
