The Director of Ambulatory Systems reports to the Chief of Enterprise Applications and functions as the primary expert for ambulatory applications and processes. The Director coordinates and defines design, build and maintenance objectives of the applications and insures sustainability of the applications. The Director is responsible for the quality, scope, and schedule of: - Incident resolution for EpicCare Ambulatory, Cadence, Kaleidoscope, Phoneix and Research applications - Collaborative design of patient-centric, complex workflows between ambulatory, inpatient, billing and ancillary applications, continuously partnering with operational leadership and subject matter experts - In-depth and precise management of issues and problems, and providing leadership from beginning to completion - Ongoing outpatient optimization activities - Managing design and build to support the opening of new ambulatory clinics, services and/or acquisitions - Implementing any new outpatient focused applications, including any new CareConnect (Epic) modules / applications, as well as testing and change control procedures - Management and support of ad-hoc projects as assigned - Establishment of processes, norms and priorities for teams - Develop and mentor management team and applicable application analysts; indentifying training for team members in attaining a high level of application knowledge - Provide strategic & tactical level planning for systems and teams under areas of responsibility - Establish and maintain standard operating procedures and metrics to measure productivity and quality - Development, support, and facilitation of any necessary governance groups - Support other CareConnect and ISS initatives - Manage budget - Other work and projects as assigned MANAGEMENT OF HUMAN RESOURCES

- Partner with HR to identify and recruit effective team members, ensuring the team has the requisite leadership and technical skills - Develop, nurture, motivate, and retain staff within the application team. Identify and execute professional development and learning opportunities - Encourage cooperation, feedback and teamwork; facilitate constructive conflict resolution, and a positive, results-oriented team culture - Establish measurable team goals, review results with team on a regular basis, and adjust priorities and management as needed - Plan, prioritize and use effective time management - Perform complete and thoughtful performance reviews with staff - Prepare, monitor and manage departmental budgets LIST DUTIES TO BE PERFORMED BY THE INCUMBENT - Lead the activities of the ambulatory systems team including application managers, application coordinators and Epic AC resources - Responsible for project planning, analysis, leadership, oversight of build activities: o Manage all issues that arise for the application area and escalate unresolved issues and barriers to prevent gaps in timing or quality o Coordinate the reviews of software updates, the implementation of desired changes and the testing of each release o Develop & execute action plans to remove project barriers relative to the specific application build. o Works within, supports and coordinates established change control procedures for the system build. - Determines team's development and training needs; conducts performance appraisals, goal-setting, and mentoring; plans for the professional growth and well-being of team members - Accountable for build consistency & successful end-to-end patient centric integrated workflows - Coordinate with CMIO, CNO and other Application Directors on design and build recommendations - Facilitate user adoption across teams and throughout organization, partnering with Operational business owners - Establish relationships, sets expectations, and communicates with stakeholders and leaders in Ambulatory operations - Liaise with training team lead to ensure learning/training needs for end-users are met.

- Develop and present project updates to various stakeholders, from end-users to Executives, via written materials and verbal presentations, in small and large groups. - Facilitate bi-weekly Ambulatory Operations Advisory Group (AOAG) - Work closely with fellow directors and various Management Team and Department Chairs on identifying and prioritizing IT initiatives. Promote effective communication between system users and clinical information system staff. - Provide advice on evaluation, selection, implementation, and maintenance of information technology for ambulatory clinical systems, so as to ensure appropriate investment in strategic and operational systems. Provide ROI analyses. - Participate in negotiating IT purchases and contracts. - Work proactively with all levels of management and disciplinary areas to optimize the use of information technology in support of the healthcare and business objectives of the UCLA Healthcare Enterprise. - A four year degree - Minimum of 4 years direct work experience in a project management capacity, including vendor packaged systems implementations; or relevant work experience, including at least 2 years implementing and/or supporting healthcare software applications including building, testing, troubleshooting, managing application and system enhancements and system requests - In-depth knowledge of outpatient ambulatory/outpatient clinical care delivery, and good knowledge of practice management, professional billing needs and processes within health care organizations

- In-depth knowledge of Epic's outpatient suite of electronic medical record applications, and the full implementation lifecycle of Epic's suite of outpatient electronic medical record applications - Understanding of health care industry service delivery processes, preferably in an Academic Medical Center - Experience in managing large teams (15 or more staff) in complex enterprise-level implementation of vendor-supplied software - Advanced project management skills (ability to lead meetings, prioritize, resolve conflicts, maintain issues list, manage project plan) - Excellent conflict-resolution skills - Excellent organizational skills including ability to lead teams required - Excellent logic, verbal and math skills and ability to explore and analyze alternatives - Demonstrated ability to develop creative solutions to complex problems required - Demonstrated ability to influence and shape consensus, leading group discussions and presenting in front of groups of clinical and business operations leaders from across the organization - Demonstrated ability to establish and maintain a spirit of cooperation and respect, flourish in an unstructured environment, and always engage in professional and ethical conduct - Ability to communicate with people effectively, organize resources within the team and motivate team members - Ability to remain calm in difficult and stressful situations - Effective at facilitating and leading group discussions/meetings and building consensus - Ability to organize, assign, track and following up on issues, people, tasks, & decisions to meet established deadlines - Expert understanding of software development project lifecycles - Ability to effectively manage complex project plans with multiple contingent tasks and timelines - Ability to effectively multi-task across many assignments, prioritize work, and delegate tasks - Ability to assess the impact of new project requirements on an existing team workload - Strong customer service orientation
